Terms and Conditions

Mantra Homes – Terms and Conditions

Welcome to Mantra Homes UK (“we”, “our”, or “us”). These Terms and Conditions govern all quotations, proposed works, and any services provided by Mantra Homes UK to the client (“you”, “the client”). By requesting, accepting, or proceeding with a quotation, you acknowledge that you have read, understood, and agreed to the following terms.


1. Quote Overview

This quotation, along with these Terms and Conditions, outlines the general expectations, responsibilities, and considerations for the proposed works.
It does not constitute a legally binding agreement but serves to clarify the basis upon which the quotation is prepared.
A formal contract will be issued before any works commence, specifying the detailed scope, payment terms, and legal obligations of both parties.


2. Value Added Tax (VAT)

All prices quoted are exclusive of VAT, unless otherwise stated.
A 20% VAT charge will be applied in accordance with current UK tax regulations. Should the VAT rate change prior to the completion of the works, the applicable rate at the time of invoicing will apply.


3. Estimated Timeline

We will advise on an estimated project duration based on our current availability, the nature of the works, and material supply times.
Please note that timelines are indicative only and may be subject to change due to circumstances beyond our control, including but not limited to:

  • Adverse weather conditions
  • Delays in material or equipment delivery
  • Design changes or client-requested variations
  • Restricted site access or delayed client decisions

We will communicate any anticipated delays as soon as reasonably possible.


4. Payment Structure

Each quotation includes an indicative payment schedule.
Typically:

  • A deposit is required to secure the project and book commencement dates.
  • Interim or staged payments are due upon reaching agreed milestones.
  • Final payment is due upon completion and client inspection.

The precise payment terms, amounts, and schedule will be set out in the formal agreement.
Failure to make payments as agreed may result in suspension of works until outstanding balances are cleared.


5. Client Responsibilities

To help keep your project on track, please ensure that:

  • Our team has reasonable access to the site during agreed working hours.
  • You respond promptly to queries, approvals, and material selections.
  • You communicate any changes as early as possible.

Delays or additional costs resulting from lack of access, late decisions, or withheld information may be chargeable.


6. Health & Safety

For the safety of all parties:

  • Clients and visitors must not enter active construction areas unless authorised by a site supervisor.
  • Children, pets, and unauthorised persons should be kept clear of working zones.
  • We operate under UK Health & Safety Executive (HSE) guidelines, and all staff and subcontractors are required to follow safe working practices at all times.

7. Quality Assurance

Mantra Homes is committed to delivering a high standard of workmanship using experienced tradespeople and quality materials.
Before handover, clients will have the opportunity to inspect the completed works to confirm satisfaction.
Any minor snags or touch-ups will be completed promptly.


8. Defects Liability (if proceeding)

If the project proceeds to completion under a formal contract, a 12-month Defects Liability Period applies from the date of practical completion.
During this period, we will repair or make good any defects arising from our workmanship or materials supplied by us, excluding:

  • Misuse, neglect, or lack of maintenance
  • Damage caused by external factors (e.g., weather, third parties)
  • Wear and tear

All rectifications will be scheduled within a reasonable time frame.


9. Structural Warranty (where applicable)

Depending on the project type and scope, structural warranties of 1, 5, or 10 years may be provided for key structural elements such as:

  • Foundations
  • Load-bearing walls
  • Roof structures

Non-structural elements may carry manufacturer warranties for materials, appliances, or fixtures.
All warranties are void if works are altered by others without prior written consent.


10. Variations and Changes

If you wish to make changes to the quoted works:

  • We will provide a written variation notice detailing any impact on cost or schedule.
  • No additional or altered work will be carried out without your written approval.
  • Verbal instructions will not be accepted as authorisation for variations.

11. Validity of Quotation

This quotation is valid for 30 days from the date of issue, unless otherwise stated.
If you choose to proceed, we will prepare a formal agreement outlining:

  • Full project scope
  • Detailed schedule
  • Payment plan
  • Specific terms of engagement

12. Feedback and Complaints

We value open communication and take all feedback seriously.
If you have any concerns during or after your project, please contact us at:📧 info@mantra-homes.co.uk Complaints must be submitted within 14 days of project completion to be considered.
We aim to acknowledge all complaints within 5 business days and resolve them promptly and professionally.


13. Limitation of Liability

Mantra Homes will not be liable for:

  • Indirect or consequential losses (e.g., loss of profit, inconvenience, or business interruption)
  • Delays caused by third parties or suppliers
  • Damage arising from client negligence, misuse, or alteration of the works

Our total liability shall not exceed the total amount paid under the relevant contract.


14. Force Majeure

We shall not be held responsible for failure or delay in performing our obligations where such failure results from causes beyond our reasonable control, including natural disasters, strikes, material shortages, or acts of government.


15. Governing Law

These Terms and any future agreement between the Client and Mantra Homes shall be governed by and construed in accordance with the laws of England and Wales.
Any disputes arising shall be subject to the exclusive jurisdiction of the courts of England and Wales.


16. Next Steps

Upon your approval of this proposal, you authorise Mantra Homes UK to:

  • Proceed with preparing a detailed estimate for your project, and
  • Begin the bidding process with our trusted subcontractors and suppliers.
